Virtual Transaction Coordinator Services
A virtual transaction coordinator does exactly what an in-office TC does — manages your real estate transactions from contract to close — but works remotely. No desk in your office, no commute, no overhead. Just a trained professional handling your documents, deadlines, and communication from wherever they happen to be.
This is how we operate at Freedom Real Estate Services, and it’s how most modern TC companies work. The entire job is digital. Contracts are electronic. Communication is email and text. There’s nothing about transaction coordination that requires someone sitting in your office.
How Virtual TC Works
Here’s the actual workflow:
- You execute a contract and send it to your TC (email it over — that’s all it takes)
- Your TC sets up the file — enters all dates, parties, and key terms into the system
- Deadline tracking begins — option periods, inspection windows, financing contingencies, appraisal deadlines, title commitments, closing dates
- Your TC coordinates the parties — lender, title company, inspector, appraiser, other agent. Everyone stays informed and on schedule.
- Documents flow through your TC — as amendments, addenda, disclosures, and repair requests come in, your TC checks everything for completeness and keeps the file organized
- Compliance is handled — your file is complete, organized, and audit-ready before closing
- You close the deal and move on to the next one
We track everything in our system and keep yours up to date — your brokerage’s back office, compliance platform, whatever you use. You can check the status of any file anytime. Your TC is an email or text away during business hours.
Why Virtual Beats In-Office for Most Agents
The real estate industry has gone remote in ways that would have seemed impossible ten years ago. Contracts are signed electronically. Showings are scheduled through apps. Marketing is digital. Transaction coordination fits naturally into this.
Cost. A virtual TC charges per file — typically $300-$500 per transaction. An in-office assistant costs $3,500-4,500/month in salary alone, plus benefits, payroll taxes, equipment, and the time you spend managing them. At three closings per month, an outsourced virtual TC costs about a third of what a full-time hire does.
Flexibility. Slow month? You’re not paying someone to sit at a desk. Busy month? Your TC handles the volume. Your costs scale directly with your business.
Expertise. A virtual TC company handles hundreds of transactions per year across multiple agents. That volume creates expertise that no single-agent assistant can match. Our team has seen every weird situation, every last-minute curveball, every “I’ve never seen this before” scenario — because when you manage enough deals, you see them all.
Backup coverage. When your in-office person calls in sick, you’re on your own. With a virtual TC company, your dedicated backup is on every file alongside your primary TC — they see the same documents, deadlines, and notes. You just don’t see them working. When someone’s out, there’s no gap. Your transactions keep moving like nothing happened.
No geographic limits. If you’re licensed in multiple states or working a market that spans a wide area, a virtual TC works from anywhere. We serve agents across ten states with the same quality and responsiveness.
What Virtual TC Covers
Our virtual transaction coordination service includes everything you’d expect from an in-office TC:
- Contract-to-close management — from executed contract through closing day
- Deadline tracking and calendar management — every critical date monitored and communicated
- Document management — every document checked for completeness (signatures, initials, dates, blanks), file maintained and organized. Document preparation available at agent’s direction.
- Communication coordination — lenders, title companies, inspectors, appraisers, agents, clients
- Broker compliance — complete, organized files that meet your brokerage requirements
- Listing coordination — MLS entry, photography scheduling, sign installation, disclosure management
- Status updates — proactive communication so you always know where every deal stands
Who Uses Virtual TC Services
Solo agents — the most common. You’re doing 2-5 deals per month and spending half your time on paperwork instead of prospecting and showing homes.
Small teams — 2-4 agents sharing a TC. Each agent gets dedicated attention, and the team shares the cost.
Large teams and brokerages — even the best in-house TC gets outpaced when volume spikes. We work with several large teams as overflow, catching the files their in-house person can’t get to. Some use us as primary TC for agents who don’t generate enough volume to justify a dedicated in-house hire. It doesn’t have to be one or the other.
Multi-state agents — licensed in more than one state and need a TC who can handle the different forms, timelines, and customs in each market.
New agents — we love working with brand new agents and seasoned agents alike. Seasoned agents already know the value a great TC brings. New agents are about to find out. Build us into your workflow from day one and you never develop the bad habits that are hard to break later. Your clients get a professional experience from your very first closing, and we can show you how to offset the cost while you’re getting established.
The Technology
You don’t need to change anything about how you work. We track in our own system and keep your brokerage’s back office and compliance platform up to date — Dotloop, SkySlope, Brokermint, Transaction Desk, whatever you use. If you want a shared Dropbox folder for documents, we can do that too. No client portals, no new logins, no learning our software.
Communication is email and text. Simple. We match your workflow, not the other way around.
Getting Started
Onboarding is fast. Sign a little paperwork, email us your contracts and addenda, and we’re up and running — same day or next day. We learn your brokerage requirements and communication preferences as we go. By your second or third file, your TC knows exactly how you like things done.
