Scope of services. A TC who handles everything from file setup through closing coordination charges more than one who just tracks deadlines and sends reminders. Make sure you’re comparing apples to apples.
Market. TC fees tend to be higher in expensive markets (California, New York) and lower in markets where transaction values are smaller. The work is largely the same, but pricing follows the market.
Solo TC vs. company. A solo operator working from home might charge $250-$350. A company with backup coverage, established systems, and multi-state capability typically charges $350-$500. The premium buys you reliability and infrastructure.
Volume. Some TC companies offer volume discounts for agents or teams doing 5+ transactions per month. Worth asking about if you’re at that level.

The Real Math: What’s a TC Worth?
Cost is only half the equation. The other half is what you do with the time you get back.

Pricing Models to Avoid
Hourly billing. You have no idea what the final cost will be until the deal closes. Some TCs bill hourly and the cost can exceed per-file rates significantly on complex transactions. Per-file is cleaner.
Monthly retainers with minimum commitments. If you have a slow month, you’re still paying. Per-file pricing scales naturally with your business — busy months cost more, slow months cost less.
Low per-file rates with add-on fees. Some TCs advertise $200/file but then charge extra for document prep, after-hours communication, rush closings, or compliance filing. Ask what’s included before you commit. The $350 TC with everything included often costs less than the $200 TC with add-ons.

- What’s included in the per-file fee? Get the complete list. Especially ask about document preparation, after-hours availability, and compliance filing.
- Are there any additional fees? Rush closings, complex transactions, cancellations — know what triggers extra charges.
- What’s your cancellation policy? If a deal falls through at day 20, do you pay full price?
- Volume discounts? If you’re doing 5+ files per month, ask.
