Not all TC companies are the same. Some are solo operators with a website. Some are large operations where your file is a number. The right one depends on your volume, your market, and what kind of service you need.

We’re a TC company ourselves, so take our opinions here accordingly. But after years in this business and conversations with hundreds of agents, we know what matters and what doesn’t.

What to Look For

Dedicated Coordinator

This is the most important question you can ask: “Will I have a dedicated TC, or does my file go to whoever’s available?”

Some companies rotate files across a pool of coordinators. That means a different person might handle your Monday closing than your Thursday closing. Nobody knows your preferences, your brokerage requirements, or your communication style. Every file starts from scratch.

A dedicated TC learns how you work. They know your broker’s compliance requirements. They know you prefer text over email. They know your lender is slow on appraisals and they follow up before you have to ask. That relationship compounds over time — your 20th file together runs smoother than your 2nd.

Backup Coverage

A dedicated TC is great until they’re sick, on vacation, or slammed. Then you’re stuck.

The best TC companies give you a dedicated coordinator AND a dedicated backup. State-Specific Knowledge

Real estate forms and processes vary by state. The contract forms in Texas (TREC) are completely different from Florida (FAR/BAR) or Georgia (GAR). Option periods exist in some states and not others. Attorney states handle closings differently from title states. Disclosure requirements vary.

Your TC needs to know the forms and customs in every state where you do business. A company that serves agents across multiple states has this built in. A solo TC who’s only ever worked in one market may not.

Flat Per-File Pricing

The cleanest pricing model is per-file. You know exactly what each transaction costs. No hourly billing surprises, no monthly minimums during slow months.

Ask what’s included. The $300 company that charges extra for document prep, compliance filing, and after-hours communication might cost more than the $400 company that includes everything.

Communication and Responsiveness

How does the TC communicate? How fast do they respond? This matters more than most agents realize until they’re three days from closing and can’t get their TC on the phone.

Good benchmarks:

  • Same-day response during business hours
  • Proactive updates without you having to ask
  • Communication via your preferred channel (email, text, phone)
  • Clear escalation process for urgent items

Technology

Does the TC company work within your existing tools, or do they force you onto their platform?

A good TC company adapts to your workflow. Dotloop, SkySlope, Brokermint, Transaction Desk — they should be comfortable in whatever your brokerage uses. If they insist on their own proprietary system, that’s a red flag unless the system is genuinely better than what you’re using.

Types of TC Companies

Solo TCs

One person, often working from home, handling a limited number of clients.

Pros: Personal attention, often the most affordable, direct relationship. Cons: Single point of failure — no backup if they’re unavailable. Limited capacity. May only know one market.

Good for: Agents doing 1-3 transactions per month who want a personal relationship and don’t mind the risk of no backup.

Boutique TC Companies (5-15 staff)

Small companies with multiple coordinators, established systems, and usually a specific market focus.

Pros: Dedicated coordinators with backup coverage. Enough volume to have refined processes. Usually strong in their core markets. Cons: May not cover all states. Capacity can be limited during busy seasons.

Good for: Agents and small teams who want the personal touch of a smaller company with the reliability of backup coverage.

National TC Companies

Large operations serving agents across many states with standardized processes.

Pros: Multi-state coverage. Robust systems. Scalable — they can handle volume spikes. Usually have backup coverage built in. Cons: May feel less personal. Some rotate coordinators across files. Quality can vary by location.

Good for: Multi-state agents, large teams, or anyone who needs consistent service regardless of market.

Questions to Ask Before Signing Up

These five questions tell you everything you need to know:

  1. “Will I have a dedicated TC, or do files rotate?” — You want dedicated.
  2. “What happens when my TC is out?” — You want a trained backup who knows your files.
  3. “Do you know [my state’s] forms and processes?” — Test them. Ask about a specific form or deadline.
  4. “What’s included in the per-file fee?” — Get the complete list. Ask about add-on charges.
  5. “How do you communicate, and what’s your response time?” — Same-day should be the minimum.

If a company can’t answer these clearly, keep looking.
