Realtor Transaction Coordinator

Realtor® Transaction Coordinator

If you’re a Realtor® doing more than a couple of deals per month, you already know the problem: the administrative work grows faster than your capacity to handle it. Every transaction adds documents, deadlines, and coordination that pull you away from the activities that actually generate revenue.

A transaction coordinator handles that entire workload. Contract to close — deadlines, documents, communication, compliance — managed by someone whose only job is making sure your files close clean and on time.

What a TC Does for Realtors®

The scope is straightforward:

  • Deadline tracking — option periods, inspection deadlines, financing contingencies, appraisals, closing dates. Every critical date monitored across every active file.
  • Document management — every document checked for missing signatures, initials, dates, and blanks. File organized and maintained throughout the transaction.
  • Communication coordination — lenders, title companies, inspectors, appraisers, other agents. Your TC keeps everyone informed and moving toward closing.
  • Broker compliance — complete, organized files that meet your brokerage requirements. Audit-ready before closing day.
  • Listing coordination — MLS entry, photography scheduling, sign installation, disclosure management.

Document preparation — amendments, addenda — is available at your direction when you need it. But the core work is managing the file: making sure everything that comes in is complete and nothing falls through the cracks.

Why Most Top Producers Use a TC

The math is simple. You make money meeting clients, showing homes, and negotiating deals. Every hour you spend chasing a lender for an update or checking whether a disclosure got signed is an hour you’re not doing those things.

Top producers figured this out early. They didn’t get to 5-10 closings per month by doing their own paperwork. They got there by delegating the administrative work and spending their time on production.

The agents who resist hiring a TC are usually the ones who hit a ceiling at 3-4 deals per month and can’t figure out why. The answer is almost always the same: they’re spending half their working hours on work that doesn’t generate revenue.

How the TC Fee Works for Realtors®

Most TC companies charge $300-$500 per file. We land in the mid-to-low range by design — highly systematized, built for volume, savings passed on to our clients.

Here’s what makes this even easier: many Realtors® add a transaction coordination fee to their listing or buyer representation agreement. The client pays it at closing as part of their closing costs. Some Realtors® charge exactly what the TC costs. Some charge a bit more and pocket the difference.

Either way, the TC service can be cost-neutral — or even profitable — for you. More on who pays the TC fee →

Working With Your Brokerage

Every brokerage has its own compliance requirements, forms, and systems. Your TC needs to know them.

We work in your brokerage’s back office and compliance platform — whatever system they use. We track in our own system and keep yours up to date. No new logins, no new software, no disruption to your workflow.

If your brokerage has specific document requirements, naming conventions, or submission timelines, we learn those during onboarding and follow them on every file.

How Our Model Works

At Freedom RES, every Realtor® gets:

  • A dedicated TC who learns your preferences, your brokerage requirements, and how you like things done
  • A dedicated backup on every file alongside your primary TC — you just don’t see them until you need them
  • Multi-state coverage — we serve Realtors® across ten states
  • Flat per-file pricing — no monthly minimums, no hidden fees
  • Same-day responsiveness via email and text

We love working with brand new agents and seasoned agents alike. Seasoned agents already understand the value a fantastic TC brings to the table. New agents are about to find out. We can show you how to offset the cost so it doesn’t impact your bottom line.
