How Many Transactions Can a TC Handle?

How Many Transactions Can a TC Handle?

The answer everyone expects: a specific number. The real answer: it depends entirely on systems.

Why the Number Doesn’t Matter

Some TCs start to sweat at 10-12 files. Others handle significantly more without quality slipping. The difference isn’t stamina or talent. It’s whether they’ve built systems for the work or they’re doing everything from memory and gut instinct.

A TC with refined checklists, automated reminders, established workflows, and a team structure that includes assistants and backup coordinators can handle far more volume than a solo operator managing files in a spreadsheet.

The question you should ask isn’t “how many files do you have?” It’s “do you have the systems and team to manage my files well?”

What Makes High Volume Possible

Systems. Every file follows the same process. Same checklist, same sequence, same follow-up cadence. When the process is systematized, adding another file is adding another instance of something you’ve already done hundreds of times — not reinventing the workflow.

Team structure. A TC with assistant support and a dedicated backup on every file has built-in capacity that a solo operator doesn’t. Volume distributes naturally across the team.

The nature of the work. Not every file demands attention at the same time. New construction deals close in 3-6 months — they sit quiet for weeks between milestones. Long-dated contracts coast through their middle phase. The busiest moments on any file are when it first comes in and about a week before closing when everything converges. In between, it’s monitoring and following up.

Most files follow the same patterns. The steps are predictable even when the timing varies. So across a stack of active files, there’s always a mix — some heating up, some cooling down, some coasting. The ebbs and flows create natural capacity.

And since we’re watching the dates on everything, closings don’t sneak up on us. There’s no “suddenly” — we were watching it getting closer the whole time and we were prepared.

You Should Never Feel Like a Number

This is the real concern behind the question. You don’t want to hire a TC and then feel like your files are getting lost in a pile.

At Freedom RES, every agent gets a dedicated TC who knows their files, their preferences, and their brokerage requirements. Your dedicated backup is on every file alongside your primary TC — they see the same documents, deadlines, and notes. You just don’t see them until you need them.

The systems exist so that you get consistent, attentive service regardless of what else is on your TC’s plate. That’s the whole point.

The Agent’s Role in This

Agents who work well with their TC make the system run smoother:

  • Send contracts promptly — the sooner the file is set up, the more runway for every deadline
  • Respond to questions quickly — when your TC asks for a decision or a missing piece, a fast answer keeps the file moving
  • Provide clear direction — especially on document preparation. Written, specific, complete.
  • Trust the process — your TC is watching the deadlines. You don’t need to watch them too.

The agents who struggle with TC relationships are usually the ones who can’t let go — checking every deadline themselves, second-guessing the process, creating duplicate work. Trust your TC. That’s why you hired them.
