Outsourcing Transaction Coordination

Outsourcing Transaction Coordination

Outsourcing your transaction coordination means hiring an external company or contractor to manage the administrative side of your real estate deals — contract to close — instead of doing it yourself or hiring someone in-house.

It’s the way most high-producing agents operate now. Not because outsourcing is trendy, but because the math is obvious and the alternatives are worse.

Why Agents Outsource

The Economics

An outsourced TC costs $300-$500 per file. A full-time in-house assistant costs $3,500-$5,500/month in salary alone, before benefits, payroll taxes, equipment, and management time.

At 3 closings per month:

  • Outsourced: $1,050/month
  • In-house: $4,500-$6,500/month (all-in)

That’s not a marginal difference. It’s 4-6x more expensive to hire in-house at typical agent production volumes. The outsourced TC becomes cost-equivalent to in-house only when you’re consistently closing 12-15+ deals per month — and even then, the outsourced option comes with backup coverage the in-house hire doesn’t.

Expertise You Can’t Build Alone

A TC company manages hundreds or thousands of closings per year across multiple agents. That volume builds expertise that no single-agent operation can match.

When we encounter a weird title issue, a last-minute financing change, or a closing that needs to be restructured — we’ve probably seen it before. That experience translates into faster problem resolution and fewer surprises.

A newly hired in-house assistant, no matter how sharp, needs months of ramp-up time before they’re operating at that level. And they’ll only ever see the volume you personally generate.

Built-in Redundancy

Your in-house person calls in sick on a closing day. What do you do?

With an outsourced TC company, the answer is: nothing. Your dedicated backup is already on every file alongside your primary TC — they see the same documents, deadlines, and notes. You just don’t see them. When your primary TC is out, the backup picks up without missing a beat. No gap, no scramble, no getting up to speed.

This alone justifies the outsourced model for many agents. A single point of failure in your transaction management is a risk to your business, your reputation, and your clients.

What You Can Outsource

The scope depends on the provider, but full-service real estate back office outsourcing can include:

Transaction coordination:

  • Contract-to-close management
  • Deadline tracking across all active files
  • Document management, completeness checks, and file organization
  • Communication coordination with all parties
  • Broker compliance and file management

Listing coordination:

  • MLS entry and accuracy management
  • Photography and vendor scheduling
  • Sign installation coordination
  • Disclosure packet assembly
  • Showing coordination and seller updates

Additional services:

  • Document preparation at agent’s direction (amendments, addenda — available but priced separately)
  • CMA preparation
  • Marketing material coordination
  • Client communication templates

At Freedom RES, we focus on transaction coordination and listing coordination — the core services that have the biggest impact on your time and your clients’ experience.

How to Transition

If you’re currently managing your own transactions, the transition to outsourced TC is straightforward:

Day 1: Sign a little paperwork, email us your contracts and addenda, and we’ll get started. We learn your brokerage requirements and communication preferences as we work your first file.

Files 2-3: Your TC knows your preferences, your go-to title company, how you like updates. Things get faster.

Files 4+: Your TC knows exactly how you work. Files flow through with minimal input from you. You check status when you want to, not because you have to.

Most agents are fully comfortable by the third file. By the fifth, they’re wondering why they didn’t hire a TC sooner.

What About Active Files?

If you have transactions in progress, you have two options:

  1. Clean handoff — your TC takes over active files mid-stream. This works if the TC is experienced and can get up to speed quickly on where each deal stands.
  2. New files only — finish your current files yourself and hand off every new one. Cleaner, but means you’re managing two systems for a few weeks.

We recommend option 1 for most agents. An experienced TC can review an active file and be fully up to speed in 15-20 minutes.

Outsourcing for Teams

Teams get an outsized benefit from outsourcing TC. Here’s why:

Consistency. Every agent on the team gets the same quality of transaction management. No more varying file quality depending on which agent is better at paperwork.

Scalability. Add a new agent to the team and they’re immediately supported with professional TC services. No training a new assistant or overloading the existing one. Even teams with an in-house TC use us as overflow — when volume spikes and your in-house person is maxed out, we catch the overage so nothing slips.

Cost allocation. Some teams split TC costs across agents. Some team leads cover it as a team benefit. Either way, per-file pricing makes the cost predictable and fair.

Broker compliance. The brokerage gets consistently clean files from the entire team, not just from the agents who are naturally organized.

Common Concerns

“Will my clients know?” Only if you want them to. Some agents have us communicate directly with their clients as part of the team. Others prefer to handle all client communication themselves — we just feed them the information they need to keep everyone on track. Either way works. We adapt to how you want to run your business.

“What about confidentiality?” Reputable TC companies handle sensitive client data every day. Look for a company that uses secure platforms, has clear data handling policies, and can articulate how they protect client information. This should be a standard part of your vetting.

“What if I don’t like the TC?” Ask about this upfront. Good companies will reassign you to a different coordinator if the fit isn’t right. At Freedom RES, we match agents with coordinators based on workstyle and communication preferences, and we’ll switch if it’s not working.

“Can I still be involved in my transactions?” Absolutely. Outsourcing TC doesn’t mean you’re hands-off. It means the administrative work is handled for you. You’re still involved in every decision, every negotiation, and every client conversation. You’re just not the one chasing lender updates and filing compliance documents.
